Student Visa Document Checklist by Country for Nepali Students (2026)

Missing a single document can delay your visa application by weeks -- or worse, result in a refusal. We have seen it happen to well-qualified students who assumed they had everything in order, only to discover at the embassy or during online submission that one item was missing. A document checklist is not just a nice-to-have. It is your insurance against avoidable mistakes.

At Study Abroad from Nepal, our counselors go through a final document review with every student before their visa application is submitted. This checklist is the same one we use in our offices. It covers the specific document requirements for the USA F1 visa, Australia Subclass 500, Canada Study Permit, and the UK Student Route visa, along with common documents that every Nepali student needs regardless of the destination. For the full step-by-step application process, see our study abroad application process guide.

Documents Common to All Countries

Before diving into country-specific requirements, here are the 9 documents that every Nepali student needs for any study abroad visa application:

  • Valid passport -- must be valid for at least 6 months beyond your intended travel date, with at least 2-4 blank pages
  • Academic transcripts (original + certified copies): SLC/SEE, +2/A-Level, bachelor's (if applying for master's)
  • Passport-size photographs -- recent, meeting the specific size and background requirements of the destination country
  • English proficiency test score report -- IELTS, PTE Academic, Duolingo, or TOEFL
  • Statement of Purpose (SOP) / Personal Statement -- tailored to the specific university and program
  • Financial documents -- bank statements, sponsor letter, loan sanction letter
  • NOC from MoEST -- required for all Nepali students studying abroad
  • Citizenship certificate -- Nepali citizenship (original + photocopy)
  • Birth certificate -- especially needed if your sponsor is a parent (to prove relationship)

Always carry both originals and photocopies of every document. Some embassies require you to submit copies while retaining originals. Having multiple copies prevents delays.

How to Organize Your Documents

After working with thousands of students, here is the 7-step document organization system we recommend:

  1. Create a dedicated folder (physical and digital) for your entire application
  2. Label sections by category: Academic, Financial, Identity, Visa-Specific
  3. Keep originals separate from copies -- use a different color folder or clear dividers
  4. Scan everything at high resolution (at least 300 DPI) and save as PDF
  5. Name digital files clearly: Passport_FirstName_LastName.pdf, BankStatement_June2026.pdf
  6. Make at least 3 sets of photocopies of every document
  7. Keep a master checklist (use this page) and check off items as you collect them

Where to Get Each Document in Nepal

One of the biggest sources of confusion for Nepali students is knowing exactly where to obtain each document. Here is a practical guide for getting every item on your checklist in Kathmandu.

Document Certification and Translation Guide

Different countries have different requirements for how documents must be certified. Getting this wrong can delay your application significantly.

Certified Copies

A certified copy is a photocopy that has been verified as a true copy of the original by an authorized person. In Nepal, certified copies can be obtained from a notary public, your educational institution's registrar office, or a lawyer. The certifier must sign and stamp the copy with a statement confirming it is a true copy of the original. Cost: NPR 100-500 per document.

Translation Requirements

Any document in Nepali must be translated to English by a certified translator. The translation must include: the translator's full name, qualification, a certification statement ("I certify this is a true and accurate translation of the original document"), the translator's signature and date, and the translator's contact information. Several certified translation services operate in Kathmandu — our office can recommend reliable providers.

Notarized Documents

The USA specifically requires notarized sponsor affidavits. A notarized document is one that has been certified by a notary public who verifies the identity of the signers. In Nepal, notary public services are available at district administration offices and through licensed lawyers. The cost is typically NPR 500-1,500 per document.

Common Document Mistakes That Delay Applications

Based on our experience reviewing thousands of document sets, these are the 8 most common mistakes Nepali students make.

Name mismatch between passport and academic documents

Your name must be identical across all documents. If your passport says "Ram Bahadur Thapa" but your transcript says "Ram B. Thapa," this can cause problems.

Bank statements that are too old

Bank statements should be dated within 1 month of your application. A statement from 3 months ago may be rejected.

Missing sponsor relationship proof

If a parent is sponsoring you, include birth certificate and family relation proof. Without this, the visa officer cannot verify the sponsor-student relationship.

Expired police clearance certificate

Police clearance should be issued within the last 6 months. Getting it too early means it may expire before your visa decision.

Low-quality scans

Blurry or low-resolution scans can be rejected. Use at least 300 DPI and save as PDF. Check that all text is clearly readable.

Untranslated Nepali documents

Submitting documents in Nepali without certified English translation is a guaranteed delay. Every non-English document needs translation.

Incorrect photo specifications

Each country has specific photo size and background requirements. USA needs 2x2 inches with white background. UK/Australia need 35mm x 45mm.

Not including all financial sources

If funding comes from multiple sources (savings + loan + sponsor), document ALL of them. Leaving out a source makes your financial picture incomplete.

General Document Tips

Keep Copies

Make at least 2 physical copies and 1 digital scan of every document. Store digital copies in cloud storage (Google Drive, Dropbox) accessible from any device.

Translation

Documents in Nepali must be translated to English by a certified translator. The translation must include the translator's certification statement, signature, and date.

Validity

Check the validity period of each document. Police clearance certificates should be issued within the last 6 months. Bank statements should be no older than 1 month at the time of application.

Attestation

Some documents may need to be attested or notarized. Check specific embassy requirements. The USA requires notarized sponsor affidavits. Australia and UK may need certified copies.

Frequently Asked Questions

Do I need to get my documents translated?

Any document not in English must be translated by a certified translator. This includes your Nepali citizenship certificate, birth certificate, and any academic documents issued in Nepali.

How recent should my police clearance certificate be?

Most countries require a police clearance issued within the last 6 months. Get it closer to your visa application date rather than months in advance.

Should I bring documents that are not on the checklist?

Yes, it is better to have extra supporting documents. For the USA interview, bring property papers, family business documents, parent's employment letters, and previous travel history.
